OPERATIONS AND COMMUNICATIONS COORDINATOR


Job Description:

As the Operations and Communications Coordinator, you'll play a critical role in providing seamless administrative support and effective communication strategies for Drinking Partners LLC.  Drinking Partners is committed to supporting Black art and artists, empowering the Black community through collective creativity and economic development.  This multifaceted position requires a highly adaptable individual capable of managing a wide range of responsibilities, blending executive support with communication oversight.

Contract Term:
November 1st, 2024 - December 31, 2025

Pay Rate:
Contracted up to 40 hours per week/$26 an hour 

Work Location:
Hybrid. Remote work with occasional in-person meetings and events. Nights and weekend availability as needed

Responsibilities:

Administrative

  • Document Filing and Maintenance
    Maintain an organized and accessible filing system for documents, reports, and other pertinent materials.
    Develop and maintain efficient office filing systems, ensuring easy accessibility and retrieval of information.
  • Budgeting:
    Assist in budget planning and monitor expenditures for communications and administrative needs.
    Maintain accurate financial records for quarterly accounting, budgeting, and planning.
  • Scheduling:
    Manage and optimize the executive's calendar, including appointments, meetings, and travel arrangements.
    Coordinate travel logistics, accommodations, and itineraries for the executive team.
  • Board Meetings:
    Organize and facilitate board meetings, including logistics, documentation, and follow-ups.
    Record accurate and detailed minutes of meetings, ensuring dissemination and follow-up on action items.

Communication and Public Relations

  • Marketing and Storytelling:
    Collaborate with the Founder to develop marketing language and storytelling that authentically reflects the organization's voice and mission.
  • Communication:
    Handle all forms of communication including emails, letters, and inquiries, ensuring timely and professional responses.
  • Press Releases:
    Draft, edit, and distribute press releases and official communications to various media outlets.
    Maintain strong relationships with the press.
  • Newsletters:
    Curate, create, and distribute monthly newsletters to internal and external stakeholders.

Digital Media

  • Content Creation:
    Generate engaging content for the website and social media platforms.
  • Social Media Calendar:
    Develop and manage a comprehensive social media calendar for strategic online engagement.

Products and Maintenance

  • Merchandise Fulfillment and Shipping:
    Manage merchandise orders, maintain accurate inventory, and oversee fulfillment and shipping processes.
    Order merchandise from various vendors and maintain an accurate vendor Rolodex.
    Collaborate with the Festival Coordinator on vendor applications.

Event Coordination

  • Festival and Event Management:
    Attend all Barrel & Flow events and other engagements throughout the year.
    Manage event staff, oversee training, assign roles, troubleshoot issues, handle questions, manage ticket upgrades, and oversee merchandise sales.
  • Ticket Systems:
    Oversee and manage ticketing systems for events, conferences, and other engagements.
  • POS Systems:
    Sell merchandise and maintain accurate inventory at events.
    Serve as the primary point of contact for all sponsors, speakers, and event vendors during festivals.
  • Availability:
    Nights and weekend availability as needed

Skills and Qualifications:

  • At least 5 years of professional experience. 
  • Strong problem-solving skills and attention to detail.
  • Proven experience in executive support and communications roles.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in communication software, Google Suites, Canva, Outlook, Mailchimp, and social media platforms.

Additional Requirements:

  • Must have access to high-speed internet and a laptop. 
  • Must be available to work outside of regular business hours to attend events, meetings, and other company-related engagements.
